Part A — Website
TrackNab Website Privacy Notice
Effective date: 14 October 2026
Information we collect
When you request a demo, enquire about our products or apply for a trial, we collect the information you provide. This may include your name, business email, telephone number, organisation, school information, operational requirements and message. When you complete Step 1 and choose to continue, its school and contact details are sent so we can follow up even if you do not finish the form. If submission fails, we may attempt to send a separate failure report containing your entered answers so our team can help.
Trial setup uploads are intended for dummy data only. Do not upload real student records, biometric information, health information or other sensitive personal data.
Our hosting and form providers may also process technical information, such as IP addresses, browser information and request logs, to deliver and protect the website.
How we use information
We use your information to respond to enquiries and arrange demonstrations; review trial requests and coordinate trial setup; send relevant confirmations and follow-up communications; and maintain website security and investigate technical issues.
We do not sell your personal information.
Services involved
Our website uses Cloudflare for hosting and security. Demo and Get started forms are submitted through Web3Forms for delivery to our configured business inbox. The separate dummy trial-file upload uses FormSubmit for delivery to info@tracknab.net. Our email service processes and stores these messages.
If you contact us through a WhatsApp link, WhatsApp processes that interaction under its own privacy terms. Email links open your chosen email application.
These providers may process information outside the UAE and have their own privacy practices and retention periods.
Retention
TrackNab retains website demo enquiries, trial requests and dummy trial uploads for 60 days from receipt, then deletes them from its active inbox and storage.
If you become a customer, information needed to deliver the service will be handled separately under the applicable service agreement and platform privacy documentation. Information required for legal obligations or an ongoing dispute may need to be retained longer.
Third-party logs, backups and service records may follow their providers’ separate retention schedules.
Browser storage and calculators
The website stores your language, theme and analytics-consent preferences locally in your browser. You can remove these using your browser settings.
ROI calculator inputs are processed in your browser to generate estimates; the calculator itself does not submit them to TrackNab.
With your consent, we use Google Analytics and Microsoft Clarity to understand how visitors use the website, including anonymous session recordings. They load only after you accept analytics in the cookie banner, and you can change this through Privacy choices. Hosting and security services may still process technical information.
Security
We use HTTPS to protect information while it travels to the website and form service. No online service can guarantee complete security.
The public forms, email address and trial upload facility are not approved channels for real student or biometric records. Contact us to arrange an appropriate secure process before sharing such information.
Your privacy requests
You can contact info@tracknab.net to request access, correction or deletion of information you have provided, or to raise a privacy concern.
We may need to verify your identity before responding. We will handle requests according to applicable requirements and explain any limits that apply.
Separate operational platform
This notice covers the TrackNab marketing website. Processing through the operational platform—including student journeys, attendance, transport, identity and safety systems—is governed by separate platform documentation and agreements with the relevant organisation.
Changes to this notice
We may update this notice when our website or information-handling practices change. The latest version and its effective date will appear here.
Part B — TrackNab Apps
TrackNab Apps Privacy Policy
Effective date: 14 October 2026
Definitions
Application means TrackNab: Solutions Simplified; Service means the app and related services. Account means your registered access; Device means a phone, tablet or computer; Personal Data identifies or can identify a person; Usage Data describes service use and diagnostics. A Service Provider processes information on our behalf. You means the user or the organisation represented; Company means the applicable UAE or Qatar TrackNab entity listed below.
Who the apps are for
The apps are for schools, parents, transport staff, drivers, conductors and teachers. Schools provide student information to TrackNab under their agreement with us; we process it on the school’s behalf.
Data we collect
Depending on the school’s deployment and your role, we process parent names, phone numbers and email addresses; student names, classes, assigned buses and trips; bus GPS locations; boarding, gate and classroom attendance records; and staff names and phone numbers.
Only where the school has implemented photo, palm or face identification, we process the photos or identification data needed for that system, with the school’s and parent’s consent.
Additional account and technical data
Where needed for the service, we may collect your name, email, phone number and address. Usage and device data may include IP address, browser and operating-system details, device identifiers, visited screens, timestamps, time spent and diagnostic information. Device location is collected with your permission for app features; you can change location permission in device settings.
Why we use data
We use data to show bus location, record attendance, send safety notifications to parents, and help schools manage transport and campus safety.
We do not sell data and do not use student data for advertising or marketing.
Account management and service communications
We also use information to register and manage accounts, provide and maintain app features, monitor service performance, improve the service, handle requests and send necessary service or security updates by email, phone, SMS or push notification. Student data is not used for promotional campaigns.
Sharing and hosting
We share data only with the student’s school, service providers that host or run the service, and authorities where required by law. The service is hosted in the Mumbai region, India.
Children
Student information is provided by schools and parents to deliver the safety service. We use it only for that purpose, never for advertising or marketing, and never sell it. We process it on the school’s behalf.
Retention
Data is kept while the school uses TrackNab, then deleted or returned according to the school agreement. Individual account deletion requests are handled as described on our Delete account page.
We retain app data only as needed for the service and school agreement, legal obligations, disputes and enforcement of agreements. Usage and diagnostic data are kept as needed for analysis, security and functionality. Requests may require identity verification; legally required records may be retained.
Security
We use encrypted connections and role-based access with restricted permissions to protect personal data. No transmission or storage system can guarantee absolute security.
Your rights
You may request access, correction or deletion of your personal data. See Delete your TrackNab account for deletion instructions. Student records are controlled by the school; parents may also contact their school directly.
Business transfers and legal disclosures
If a merger, acquisition, restructuring or asset sale involves personal data, we will notify you before it is transferred and becomes subject to a different policy, with appropriate safeguards. We may disclose necessary information in response to valid authority requests or legal obligations, to protect rights and property, investigate wrongdoing, protect personal safety or address legal liability. This is not permission to sell student data or share it for promotions.
International transfers
Information may be processed at our offices and by service providers outside your country, where data-protection laws may differ. We use appropriate safeguards and controls for such transfers in accordance with applicable requirements and the school agreement.
Links to other websites
External websites and services have their own privacy policies. Review them before sharing information; we do not control their content or privacy practices.
Changes to the apps policy
We may update this policy and publish the revised effective date on this page. Material changes are notified by email and/or a prominent service notice before taking effect. Review the policy periodically.
